Day 1–2: Pick your new agency

Look for three things:

  • Transparent fees — they should give you a written fee schedule before you sign anything.
  • Local trades network — ask who they use for repairs and what the markup is.
  • Communication standard — ask how quickly they respond to tenant requests, and what the escalation path is.

Day 3: Sign the Form 6 (Appointment of Agent)

The Form 6 is the QLD-standard appointment form for property managers. It sets out fees, services included, term length, and notice period. Read every section. Ask questions about anything unclear before signing.

Day 4: We notify your current agency

You don’t have to make awkward calls. Your new agency sends written notice to the outgoing one, citing your signed Form 6 and the notice period in your current agreement (typically 30 days, sometimes 60).

Day 5–7: Tenant introduction

Your new property manager introduces themselves to your tenant by email, sharing new payment details, contact info, and reassurance that nothing in the lease changes. The tenancy itself continues unchanged.

Day 8–14: File transfer and handover

Your new agency collects the file from the outgoing one: lease agreement, entry condition report, bond receipt, rental ledger, keys, insurance details, and inspection history. This is the most common point where things go wrong if the outgoing agency is slow. A good new agency chases on your behalf.

Does the tenant have to do anything?

No. The lease, bond, and rent amount stay exactly the same. The only change for the tenant is:

  • A new bank account for rent payments
  • A new contact name and phone number for maintenance requests

A well-handled switch is invisible to the tenant beyond a single courtesy email.

What if I’m locked into a fixed-term agreement?

Most QLD property management agreements are month-to-month after the initial fixed term. If you’re still inside a fixed term, you have three options:

  • Wait it out — sign your new Form 6 to take effect at the end of the fixed term.
  • Negotiate early exit — most agencies will release you, especially if you’re polite about it.
  • Cite breach — if the outgoing agency is materially failing their obligations (uncontested), the agreement can sometimes be ended for cause. Get legal advice first.
